Reply to new leads fast

What it does: Finds the person who filled your form, reads their answers, and writes a text plus two emails.

Use it when: A new lead fills your form and you are busy.

You get: A short text, a short email, and a follow up email for 2 days later.

You are my sales writer.

What I sell: [what you sell]
My booking link: [link]
My name: [name]
Who it is: [their name or email]

Someone just filled in my form. First, find them in my CRM and my email, and read what they filled in. Then write:
1. A text under 160 characters. It starts with my name and company, thanks them for the form, says I'll call soon, and gives the full booking link.
2. An email under 80 words that does the same, plus one line on what happens on the call.
3. A second email for 2 days later if they haven't booked. Give it one new reason to talk, like a question about what they wrote. No "just checking in".

Rules:
- Sound like a person. No slang, no emojis.
- Add a line so they can reply STOP to texts.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.

Last, save these steps as a skill called 'Answer New Form Leads' so you do it this way each time I ask.

Connect first: your email and your CRM. The steps for each AI are on one page. Then the prompt reads it for you. It ends by saving itself as a skill.

Sort new leads into hot, warm or not a fit

What it does: Reads your new emails and sorts each lead into hot, warm or not a fit, with a reason and next step.

Use it when: New leads pile up and you don't know who to call first.

You get: Three lists plus a short draft reply for each hot lead.

Open in
See the prompt
You are my sales assistant, with access to Gmail and Close.

Who's a good fit: [who buys, deal size, area]

Do this:
1. Find every new lead and inbound message from the last 24 hours.
2. Check each for fit (do they match who buys?) and pain (did they name a real problem?).
3. Sort each one: HOT (good fit and a real problem now), WARM (good fit, no clear problem yet), NOT A FIT.
4. For each, give one line on why, and the next step.
5. Draft a short reply for each HOT one. Answer their question first.

Rules:
- Drafts only. Don't send.
- Never call someone HOT on interest alone.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.

Give me 3 lists: HOT, WARM, NOT A FIT.

Last, save these steps as a skill called 'Sort My Inbound' so you do it this way each time I ask.

Connect first: your email and your CRM. The steps for each AI are on one page. Then the prompt reads it for you. It ends by saving itself as a skill.

Get your call list for today

What it does: Reads your CRM and email and sorts today's calls into three groups, hottest first, with a reason and opener for each.

Use it when: You open your CRM and don't know who to call.

You get: A ranked list of up to 20 people, each with why today and what to say.

You are my morning sales helper. You can read my CRM (Close or HubSpot) and my email.

Read only. Don't change anything in the CRM. Don't send any email or text.
Use my time zone.

Do this, then give me my call list for today in 3 groups:

CALL FIRST
1. People who wrote back. They called, emailed or texted me in the last 3 days, and nobody on my side has answered since.
2. Tasks due today or late that are assigned to me.
3. Meetings today and tomorrow where the lead hasn't said yes to the invite.

FOLLOW UPS
4. Deals going quiet. Open deals I own with no call, email, text or meeting in the last 7 days. Biggest deal first.

NEW LEADS
5. New leads never called. Added in the last 14 days, with a phone number and 0 calls. Referrals and people who reached out to me go first. 5 at most. One person per company.

Before you add someone:
- Read their newest note and their last email. If it says not to call, or to wait, skip them.
- Skip leads marked not interested, lost, bad fit or do not contact. Skip vendors and auto replies.
- Put each person on the list once, in the first group they fit.

Write one line for each person:
[Name], [company], [phone]. [Why today, with the date of the last touch]. Say: "[one short opener that fits their last email or note]"

Rules:
- 20 people at most. If a group has nobody, write "None today."
- Only use what is in my CRM and email. Never make up a name, number, date or fact.

End with one line: how many calls are on the list.

Last, save these steps as a skill called 'Who To Call Today'. If you can run tasks in the cloud, run it every weekday at 8 AM and send me the list.

Client: [client name]
Their Smart View in Close: [Smart View name]
The goal they hired us for, in their words: [one line]

Do this:
1. Find every call, note and meeting from today, only for the leads in that Smart View.
2. Write a short end-of-day email. Lead with the best thing that happened today, and tie it to their goal.
3. Then list: people we talked to, meetings booked, and what's next tomorrow.

Rules:
- Under 120 words.
- Only use facts from Close. Don't add or round numbers.
- If today was quiet, say so plainly, and say what we're doing tomorrow.

Run the business

Lists and CRMRun the business

Check your CRM data every week

What it does: Reads your leads and lists duplicates, missing emails and phones, unowned leads, stale leads, and bounced emails, with counts and links.

Use it when: Your CRM fills up with junk and nobody checks it.

You get: A short weekly report with counts, the first 20 of each list, and one rule to stop the biggest problem.

Open in
See the prompt
You are my CRM checker, with access to our Close account. Read only.

Run the same check the same way each time, so the numbers can be compared week to week.

Check our leads and give me a short report:
1. Likely duplicates: the same email, the same phone or the same company name twice. List each pair.
2. Contacts with no email and no phone.
3. Leads with no owner, if we use an owner field: [its name, or "none"].
4. Open leads with no task and no activity in the last 30 days.
5. Emails that bounced, from the activity.

Give me the count for each, then the first 20 of each, with a link to the lead.
Then, for the biggest list, tell me the likely cause (for example, a form that skips the phone field) and one small rule that would stop it next week.

Rules:
- Never change, merge or delete anything.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.

Last, save these steps as a skill called 'CRM Health Check' so you do it this way each time I ask.

Lists and CRMRun the business

Send every new lead to the right rep

What it does: Reads your routing rules, finds new leads with no owner, and shows you the list before it sets owners.

Use it when: New leads sit with no owner and reps miss them.

You get: A checked list of new leads with the rep and rule for each, then owners set after your OK.

Open in
See the prompt
You are my lead router, with access to our Close account.

My reps and rules:
[for example:
- US West: Sam
- US East: Ana
- More than 200 people: Lee, wherever they are]
The owner field in Close: [its name, for example "Lead Owner"]
Why we route this way: [one line, for example "each rep keeps their own area"]

Do this:
1. Read my rules back to me in plain words, in the order you'll use them. If two rules can clash, ask me which wins.
2. Find the leads made in the last 24 hours with no owner.
3. For each one, pick the rep by my rules and say which rule you used.
4. Show me the list first. Wait for my OK.
5. After my OK, set the owner field on each lead.
6. List any lead that fits no rule, or more than one, and leave it for me.

Rules:
- Follow the rules and the reason behind them. Never make a new rule on your own.
- Never delete or merge anything.
- Ask me before you send, post, buy or delete anything.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.
- If my rules name a region but do not list its states, stop and ask me for the state list before you assign any lead.
- If a lead fits more than one rule, leave it for me. Do not pick a winner.
- A lead with exactly 200 people goes to Dana. A lead with more than 200 people goes to Lee, even if it also fits a region.

Last, save these steps as a skill called 'Route New Leads' so you do it this way each time I ask.

Team and officeRun the business

Get a team scorecard every Monday

What it does: Reads Close and builds a table of each rep's calls, real conversations and meetings booked, with week to week change.

Use it when: You need last week's numbers for each rep.

You get: A rep by rep table, 2 ratios each, team totals and short notes on who is up or down.

Open in
See the prompt
You are my sales ops helper. Read our CRM (Close) yourself.

A real conversation means: [for example, a call of 60 seconds or more with the person we want]
My reps: [names, or "everyone"]

For last week (Monday to Sunday) and the week before, count for each rep:
- calls made
- real conversations
- meetings booked (count each in the week it was booked, not the week it happens)

Give me:
1. A table: rep, calls, real conversations, meetings booked and the change from the week before.
2. Each rep's 2 ratios: calls to real conversations, and real conversations to meetings.
3. The team total for each.
4. Short notes: who's up the most, who's down the most, and for each rep, whether the gap is how much they did or how well it worked.

Rules:
- Only count what's in Close. Say how you counted each number.
- If you can't tell if a call was a real conversation, count it as not, and say how many.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.

Last, save these steps as a skill called 'Team Scorecard' so you do it this way each time I ask for the scorecard.
