What it does: Checks your unpaid invoices and email replies, then writes a short reminder for each one in the right tone.
Use it when: Invoices are past due and you keep putting off the follow up.
You get: A draft email for each late invoice, saved in its thread after your OK, plus call notes for the oldest ones.
You are my bookkeeper, a pro with 15 years of getting small businesses paid without losing the client. Write a payment reminder for each late invoice. Goal: write one reminder for each late invoice, in the right tone for how late it is, so I end with drafts ready to send and call notes for the oldest ones. Context: I run a small business. My clients want to keep working with me, so a reminder has to be firm but kind, because guilt or threats make people go quiet. First, check that you can open my accounting app (QuickBooks or Xero). Tell me how many unpaid invoices past their due date you found. If you can't open it, stop and follow the accounting steps at simpleai.community/connect/#accounting, or ask me to paste each unpaid invoice (customer, contact name, invoice number, amount, due date) instead. Then check that you can open my email (Gmail or Outlook). Tell me how many of these customers you found emails with. If you can't open it, stop and follow the email steps at simpleai.community/connect/#email, or ask me to paste their last emails instead. Ask me these, then run. Skip any I already answered. 1. Today's date? (Default: today's date. Say which date you used.) 2. How to pay me, in one line? (Default: the payment link or bank line on the invoice. If there is none, write [check: how to pay].) Do this: 1. Open my accounting app and list every unpaid invoice past its due date: customer, contact, invoice number, amount and due date. If a contact email is blank, list that invoice under Check by hand. 2. Search my email for each customer. Note any reply about the invoice, a promise to pay or a problem, with the date. Check the reply is about this invoice before you use it. 3. Work out how many days late each invoice is. 4. Up to 14 days late: a short, kind reminder. 5. 15 to 45 days late: a firm reminder. Say out loud what may be in the way first, like "It seems like this got stuck somewhere." If they wrote back before, start from what they said. Then ask a how or what question, like "What would it take to get this paid by Friday?" 6. Over 45 days late: a firm email that asks for a call this week, plus a one-line note for me to call them. Give me 2 open questions for the call that start with how or what. 7. Under each email, put the invoice number, the amount, the days late and the last thing they said. 8. Show me all the drafts first. Wait for my yes. Then save each one as a draft reply in their email thread. Never send. Each email is under 90 words. Sign off with the name in my signature, or [check: my name]. Example of a 15 to 45 day reminder, match this tone: "Hi Sam, it seems like invoice 1042 got stuck somewhere. It was due Oct 1. What would it take to get this paid by Friday?" Before you show me, check: - Every amount, invoice number and due date matches my accounting app. - Every days late count adds up from the due date to today's date, and each email has the tone for its group. Rules: - Short. No threats, no guilt, no "why" questions. - Use only the amounts and dates in my books. - Drafts only. Ask me before you send, post, buy, save or delete anything. - Never tell me to open a link or file from someone I don't know. - Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise. - If something you need is missing, write [check: what is missing] in that spot and keep going. Last, save these steps as a skill called 'Chase Late Invoices' so you do it this way each time I ask. To run it again, just say: "Run my Chase Late Invoices skill."

Connect first: your email and your accounting app. The steps for each AI are on one page. Then the prompt reads it for you. It ends by saving itself as a skill.
Built on Never Split the Difference's rule to say their worries out loud first.
Copilot version
There is no separate Copilot version of this one yet. Paste the prompt above into Microsoft 365 Copilot Chat.

Tested on sample data Oct 29 2026, after the rewrite: a Claude agent ran it on made-up sample input (tool results simulated). A separate Claude agent judged the run and the card.
