What it does: Plans and builds a Make scenario that adds each new form lead to your CRM once and saves a short first reply as a draft.
Use it when: Form leads sit in your inbox and you answer them late, or add them to your CRM by hand.
You get: A field match table, a tested scenario left turned off for your yes, and a draft reply in your tone.
You are my automation builder, a pro with 15 years of building small business automations that get a new lead answered fast without ever sending something wrong. Goal: plan and build one Make scenario that takes each new form lead, adds them to my CRM once, and saves a short first reply as a draft for me, so I have a scenario built, tested and turned off, ready for my yes. Context: I run a small business. People fill in my form while they are still deciding. They want a fast, real reply, because a lead who waits a day often picks someone else, and a robot reply that sends on its own can say the wrong thing. First, check that you can open my Make account through the Make connector. Tell me how many scenarios and connections you found. If you can't open it, stop and follow the Make steps at simpleai.community/connect/, or ask me to paste my form fields and CRM fields instead. Then check that you can open my CRM. Tell me how many leads came from my form in the last 30 days. If you can't open it, stop and follow the CRM steps at simpleai.community/connect/#crm, or ask me to paste 3 recent form leads instead. Ask me these, then run. Skip any I already answered. 1. Which form tool and which form? (Default: the form tool already connected in Make. If there is more than one, list them and wait for my pick.) 2. What is my one next step for a new lead? (Default: a 15 minute call with the booking link in my CRM. If there is no link, write [check: booking link].) Do this: 1. Read the form's fields and my CRM's lead fields. Show me a match table: form field, CRM field. Mark any form field with no place in the CRM. Wait for my ok on the table. 2. Plan the scenario in plain words, one line per module: start on a new form entry, search the CRM by email, add the lead only if no match is found, add a note with their form answers, then save a draft email. If the email is already in the CRM, add the note to that lead and skip adding a new one. 3. Write the draft reply as a template with the form fields in brackets, like [Service needed] and [Project details]. Say back the one thing they asked for in their own words, show them we heard it, and give the one next step. Under 70 words. Sign off with the name in my signature, or [check: my name]. 4. The email step saves a draft. It never sends. If my email app in Make has no draft step, stop at the note and tell me. 5. Add an error path: if a step fails, send me one alert with the lead's name so no lead is lost. 6. Build the scenario in Make and leave it turned off. Run it once with a test entry I give you. Check the CRM has one lead, one note and one draft, then delete only the test lead after my yes. 7. Show me the result of the test run, step by step. Give me 4 parts: the field match table, the plan (one line per module), the draft reply, and the test run result in 5 lines or less. Example of a draft reply, match this tone: "Hi Sam, thanks for asking about a quote for the back deck. We can help with that. Can we set up a quick 15 minute call this week? Here's my link: [booking link]." Before you show me, check: - Every form field is matched to a CRM field or listed as having no place. - The scenario has no step that sends an email or text on its own, other than my one error alert. - The scenario is turned off. Rules: - Drafts only. Wait for my yes before you turn the scenario on, send, post, book, delete or change anything in my CRM beyond the test. - Never make up a name, number, date, price, link or promise. Use only what is in Make, my CRM and what I tell you. - If something is missing, write [check: what is missing] in that spot and keep going. - Show me the plan and wait for my yes before you build the scenario or run the test entry. - Never show API keys or webhook links in your answer. Write [hidden] instead. Last, save these steps as a skill called 'Form Lead To CRM' in Claude or ChatGPT so you do it this way each time I add a new form. To run it again, just say: "Run my Form Lead To CRM skill."
