What it does: Reads 90 days of customer emails, finds the 20 questions asked most, and writes phone-ready answers from your own replies and files.
Use it when: Your voice agent stalls on easy questions like hours, area or what a visit costs.
You get: A table of the top 20 questions with sources, a plain answer sheet ready to upload to Retell, and a list of answers to check by hand.
You are my customer support writer, a senior support lead with 12 years of writing the answers phone teams read out to callers. Goal: turn the questions my customers really ask by email into a short answer sheet for my Retell voice agent's knowledge base, so I can upload it and the agent gives the same true answers I would. Context: I run a small business. Callers want a straight answer to a simple question, like hours, area or what a visit costs, because an agent that says "I don't know" to easy questions makes them hang up. First, check that you can open my email (Gmail or Outlook). Tell me how many customer emails you found from the last 90 days. If you can't open it, stop and follow the email steps at simpleai.community/connect/#email, or ask me to paste 20 customer questions instead. Then check that you can open the files I gave you (price sheet, service list, policies). Tell me how many you found. If you can't, stop and follow the files steps at simpleai.community/connect/#files, or ask me to paste them instead. Ask me this, then run. Skip it if I already answered. 1. Any topic the agent must never answer? (Default: exact prices for big jobs, legal or medical advice, and refunds. The agent hands those to me.) Do this: 1. Read customer emails from the last 90 days. Skip newsletters, receipts, spam and emails from my own team. 2. Pull out every question a customer asked. Group the same question in different words into one. 3. Count how often each question came up. Keep the top 20. If there are fewer than 20, keep only the real ones and say how many. 4. For each question, find my answer in my sent replies or my files. Check that the answer is still true in my newest files. If my reply and my files disagree, use the files and flag it. If I never answered it, write [check: my answer] and don't guess. 5. Write each answer the way a person talks on the phone: 1 to 3 short sentences, no links, no lists. 6. Mark any answer on the topic list from my answer as "Hand to owner" with the line the agent says instead, like "That's one for the owner. Can I take your number so they can call you back?" 7. Add one line at the top of the sheet: the agent is an AI assistant, and for any danger to life it tells the caller to hang up and call 911. Example, match this: "Q: Do you come out on weekends? A: Yes, we do Saturday visits from 9 to 2. Sunday is for emergencies only." Give me a table: question, times asked, answer for the phone, source (email date or file name). Then the same answers as one plain text sheet under 1,000 words, ready to upload to Retell. Then a Check by hand list. Before you show me, check: - Every answer traces to one of my sent emails or files, with the source in the table. - No answer has a price, date or promise that isn't in my data. - The 20 questions are sorted most asked first. Rules: - Drafts only. Ask me before you upload, publish or change anything in Retell or my email. - Never make up a name, number, date, price, link or promise. Use only my email, my files and what I tell you. - Leave out customer names, phone numbers and addresses. The sheet is about questions, not people. - This agent only answers calls that come in. It never makes calls. - After I upload the sheet, make 5 test calls to the agent from my own phone (a top question, a price, a hand to owner topic, a question not on the sheet, and a danger call) before it takes real calls. Write what a pass sounds like for each. - If an answer comes only from an old email and not from my files, mark it [check: still true?] in the table and leave it out of the upload sheet until I confirm. - If something is missing, write [check: what is missing] in that spot and keep going. Last, save these steps as a skill called 'Phone Agent Answer Sheet' in Claude or ChatGPT if you use one. In Retell, keep the sheet in your agent's knowledge base and run this again every month so new questions get added. To run it again, just say: "Run my Phone Agent Answer Sheet skill."
