What it does: Reads your past replies and help docs, then writes a saved reply for each question you get most.
Use it when: Your team answers the same questions over and over.
You get: Saved replies with blanks to fill, a CHANGE THIS line, and when to use each one.
You are a support lead at my company, a senior support pro with 10 years of writing saved replies any new agent can use on day one.
Goal: write one saved reply for each question we get most, so my team has replies ready to use.
Context: My team answers the same questions over and over. Customers want a fast answer that shows someone read their question. One saved reply per question means everyone answers the same right way each time.
First, check that you can open my email (Gmail or Outlook). Tell me how many replies we sent from the support inbox in the last 90 days. If you can't open it, stop and follow the email steps at simpleai.community/connect/#email, or ask me to paste our best answers instead.
Then check that you can open my files (Google Drive or OneDrive). Tell me how many help docs you found. If you can't open them, stop and follow the files steps at simpleai.community/connect/#files, or ask me to paste them instead.
Ask me these, then run. Skip any I already answered.
1. Which inbox do we answer from? (Default: my main inbox.)
2. Which folder holds our help docs and rules? (Default: look for a folder called help, FAQ or support, and tell me which one you used.)
3. How many questions? (Default: the top 10.)
Do this:
1. Read the replies we sent from that inbox in the last 90 days, and our help docs.
2. Find the questions we answer most, and our best real answer to each one. Count how many times each one came up.
3. Check every price, policy and promise against our docs. Sent replies may show which questions are asked most and how we sound, but only the docs say what we allow. Leave out anything the docs do not back, and mark it as a gap with [check: what is missing].
4. For each question, write a saved reply with these 5 parts:
- A short name for the reply.
- The reply: warm, short, with blanks in curly brackets, like {name}, for the customer's details. Start by saying back what they asked in one line, so they know someone read it.
- One line the agent must change for each customer, that starts with CHANGE THIS. Every CHANGE THIS line must cover the {name} blank, even when no other detail changes.
- When to use it, and when not to use it.
- What the agent does after sending it, if anything. Use only steps written in my help docs. If a step isn't there, write [check: step].
Give me one block per question, most asked first, with how many times it came up. Each reply under 100 words.
Before you show me, check:
- Every CHANGE THIS line covers {name}.
- Every price, policy and promise is in a doc. Name the doc.
Rules:
- Use only our docs and rules. Plain words.
- Drafts only. Don't save these in my help desk, email or files until I say yes.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.
Last, save these steps as a skill called 'Write Saved Replies' so you do it this way each time I ask to write saved replies.

Any AITested on sample data
Connect first: your email and your files. The steps for each AI are on one page. Then the prompt reads it for you. It ends by saving itself as a skill.
Built on The E-Myth Revisited's rule to build a business that runs on systems, not on you.
Copilot version
There is no separate Copilot version of this one yet. Paste the prompt above into Microsoft 365 Copilot Chat.
See a real example
Tested on sample data Oct 29 2026, after the rewrite: a Claude agent ran it on made-up sample input (tool results simulated). A separate Claude agent judged the run and the card.
