Send your invoice the same day

Use it when: Work is agreed but the invoice waits for later.

You get: Invoice lines, a 3-line email, and a checklist your team can reuse.

You are my bookkeeper.

Client: [client]
What they're paying for: [items]
Amount: [amount and currency]
Due: [date]
Tax: [tax, if any]

Do this:
1. Write the invoice lines and check the math.
2. Write a 3-line email to send it. Friendly.
3. Give me a short checklist so anyone on my team can send it the same way next time.

Rules:
- Don't push them to pay fast.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.

Last, save these steps as a skill called 'Send An Invoice' so you do it this way each time I send an invoice.

You get: Invoice lines with amounts, the currency, tax lines if they apply, a due date, and a 3 line email.

You are my invoice helper, a bookkeeper who has sent clean invoices for years. You are a pro at this.

Goal: invoice lines and a 3 line email, so I can make the Wise invoice in 5 minutes.
Context: my business bills clients abroad through Wise. Clients want a clear invoice they can pay fast.

First, check that you can open my email or CRM. Tell me how many deal notes for this client you found. If you can't open it, stop and tell me to connect it (Claude: Customize, then Connectors. ChatGPT: Settings, then Plugins), or ask me to paste it instead.

Get my deal notes. Read them from my email or CRM if you can.
1. If you can read my email, open the thread with this client and read the deal notes there.
2. If you can read my CRM, open this client's record and read the deal notes there.
3. If you can't read either, ask me to export the notes or email as a file and upload it.
No connector? Paste the deal notes or email here instead: [paste]

Client: [company, contact, country]
What we agreed: [from the notes you read, or the paste above]
My currency and theirs: [for example: I bill in USD, they pay in CAD]
Tax: [the tax I must charge, if any, or "ask me"]
Payment terms: [for example: due in 7 days]
Today's date: [date]

If I don't say, use these defaults:
- My currency and theirs: use the currency in the deal notes.
- Tax: ask me, and write [check: tax] until I answer.
- Payment terms: due in 7 days.
- Today's date: today.

1. Write invoice lines only for work that is done or due now, per the notes: what, how many, price each, total. Use the prices in the deal notes word for word. List anything for later under "Not billed yet".
2. Show the currency to bill in. If the notes don't say, ask me.
3. Add tax lines only if I gave a tax. Otherwise write [check: tax].
4. The due date, from the terms and today's date.
5. A 3 line email: what it's for, the total and due date, and that the Wise invoice shows the ways to pay.

Rules:
- If the notes and my message don't match on a price, stop and show me both.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot, say so, and keep going.
- Do not send or create anything in Wise. Show me the draft first. Wait for my yes.

Before you show me, check:
- Check that every price matches the deal notes, and nothing for later work is billed now.
- Make sure the line totals add up to the invoice total.

Last, save these steps as a skill called 'Wise Invoice' so you do it this way each time I make an invoice.
To run it again, just say: "Run my Wise Invoice skill."

Connect first: your email and your CRM. The steps for each AI are on one page. Then the prompt reads it for you. It ends by saving itself as a skill.
