Short answer

What cheap tools help a small sales team with scraping, booking and forms?

For a small sales team, try Apify for scraping, Cal.com for booking links and Tally for forms. All three have a free way to start, and we use all three. Apify is the one to learn first if you buy phone numbers or emails, because checking LinkedIn before you pay stops you buying data on people who already left. Cal.com and Tally are free to start and take an afternoon to set up.

No paid links. No tool paid to be here.

Steps

  1. 1

Test it with your own list, not their demo.

For Apify, run a LinkedIn profile check on 50 of your own contacts. For Cal.com, send your link to 5 real prospects. For Tally, send a form to 10 real people.

  2. 2

    Check 50 contacts by hand.

Open 50 of the LinkedIn profiles Apify returned and look at the current job yourself. Count how many match what the robot said.

  3. 3

Pay as you go before any yearly deal.

Apify's free plan gives you $5 of use a month, then you pay for what you run. Cal.com and Tally both have free plans. Stay there until you need more.

  4. 4

Drop it if more than 20% is wrong.

That's Kevin Hopp's rule. If more than 10 of your 50 checks are wrong, the robot or the setup is the problem.

  5. 5

Hook each one to your CRM last.

Get the tool working by itself first. Then send bookings and form answers into your CRM so nothing lives in a side inbox.

The ranking

Apify: try first

  • What it does: A store of ready-made robots that collect info from websites, like LinkedIn profiles.
  • Price: Free plan with $5 of use a month, then pay as you go (our tool page, Oct 2026). The LinkedIn profile search robot we use cost about $0.10 per search page plus $0.004 per profile in Aug 2026.
  • Fits: Teams who want to check a list before paying for phone numbers, or pull public info into a sheet.
  • Skip it if: You don't buy contact data and never need info off a website in bulk.
  • Watch out: When your plan's usage runs out, robots stop with an error. They don't charge overage, so a run can quietly not finish.

Our review: Apify, 5 out of 5

We check every new contact on LinkedIn with Apify before we pay for their phone number. On one client list, 64 people had left their job but still had a deliverable email.

Cal.com: try first

  • Price: Free plan. Checked Oct 28, 2026.

  • Skip it if: Your company already pays for another booking tool your team uses.

Below are 50 contacts from my CRM and what a LinkedIn scrape returned for each one.

For each row, compare the company in my CRM with the current company on LinkedIn. Mark each one: still there, left, or can't tell. Treat a missing or private profile as can't tell, never as left. At the end, give me the count for each and the percent that left.

FAQ

Is scraping LinkedIn with Apify allowed?

Apify robots collect public info. Read LinkedIn's terms and the robot's page before you run it, and only pull what you need.

Why check LinkedIn before buying a phone number?

People change jobs and their old email can still look deliverable. On one client list we found 64 people who had left. Checking first means you don't pay for numbers of people who are gone.

Do I need Cal.com if I have Google Calendar?

You can share times by hand, but a booking link lets the prospect pick a slot in one click. Fewer emails, fewer lost meetings.

Can Tally send answers to my CRM?

Tally can send answers to other tools on some plans. Test it with one form first and make sure every answer lands in the right field.
