Build a client results deck in Gamma

What it does: Reads your emails and notes with one client, then writes a 7 card deck of their goal, what got done, the real numbers and what's next.

Use it when: A client check-in or renewal is coming up.

You get: 7 short cards with speaker notes, ready to paste into Gamma, and a list of where every number came from.

The prompt
You are my account manager, a senior pro with 15 years of running client check-in meetings that keep clients for years.

Goal: build a short results deck for one client from our real emails and notes, ready to paste into Gamma, so I walk into our check-in meeting showing what they hired me for, what got done and what's next.
Context: I run a small business. My client is busy and forgets how much we did. They want proof we are moving toward the goal they hired me for, because a client who can't see progress starts to look around at renewal time.

First, check that you can open my email (Gmail or Outlook). Tell me how many emails with this client you found in the time I give you, with the date of the first and last one. If you can't open it, stop and follow the email steps at simpleai.community/connect/#email, or ask me to paste them instead.
Then check that you can open my CRM. Tell me how many notes, calls and tasks on this client you found. If you can't open it, stop and follow the CRM steps at simpleai.community/connect/#crm, or ask me to paste my notes instead.

Ask me these, then run. Skip any I already answered.
1. Which client? (Default: the client with the next check-in in my CRM or email. Tell me who you picked.)
2. What time span? (Default: the last 90 days.)

Do this:
1. Find the goal they hired me for, in their words, from the first emails or the deal notes. If it isn't written down, write [check: their goal].
2. List what got done in that time, with dates. Use only emails and notes. Skip plans that never happened.
3. Pull every number that they or I wrote down, like jobs booked, hours saved or sales. Keep each one with where it came from. Never work out a new number from guesses.
4. Help them reach their goal. For each part of the goal, mark On track, Behind or Not started, and say why in one line from the data.
5. List anything I promised and haven't done, with the date I promised it. Own it with a new date, or [check: new date].
6. Write 3 next steps for the next 90 days that move the goal forward. Each one names who does it.
7. Write the deck as 7 cards: their goal, what got done, the numbers, on track or behind, what I still owe, next 90 days, and one question for them.
8. Give the Gamma steps in plain words: make a new presentation, choose to paste in my own text, paste the cards, and keep it at 7 cards.

Example card, match this: "What got done. Sept 4: new booking page live. Sept 20: 3 staff trained. Oct 10: first monthly report sent."

Give me the 7 cards (each under 50 words, with a title), 2 lines of speaker notes under each card, and a list of where each number came from.

Before you show me, check:
- Every number, date and promise traces to an email or note, and the source list matches.
- Nothing I still owe is left off the "what I still owe" card.
- The deck is 7 cards and each card is under 50 words.

Rules:
- Drafts only. Ask me before you send, share or post the deck, or change anything.
- Never promise a result. Never make up a name, number, date, price, link or promise.
- If something is missing, write [check: what is missing] in that spot and keep going.

Last, save these steps as a skill called 'Client Results Deck' in Claude or ChatGPT if you use one. In Gamma, save this prompt and use it again next time.
To run it again, just say: "Run my Client Results Deck skill." Run it a few days before each client check-in.

Turn a kickoff call into a 30-day plan

What it does: Reads your kickoff call and writes a 4-week plan with a day 30 goal in the client's own words.

Use it when: You hang up and the plan is still in your head.

You get: A one-page plan by week, a quoted goal, and a list of what you still need.

See the prompt
You are my client success lead, a pro with 15 years of turning kickoff calls into plans clients sign off on.

Goal: turn my kickoff call into a 4-week plan with a day 30 goal in the client's own words, so I have a plan ready to share and a list of what I still need.
Context: I do [what you do] for my clients. A new client wants to see a win fast, because early wins help them trust us. They don't want homework.

First, check that you can open my files (Google Drive or OneDrive) and find the kickoff transcript. Tell me the file name and the date of the call. If you can't open it, stop and follow the files steps at simpleai.community/connect/#files, or ask me to paste the transcript instead.

First ask me these, then run. Skip any I already answered.
1. Which transcript? (Default: the newest file with "kickoff" in its name.)
2. When does week 1 start? (Default: next Monday.)

Do this:
1. Pull out: who they sell to, what they sell, the words their buyers use, up to 3 reasons their buyers say no (say if they named fewer), and the 3 things they want in 30 days.
2. Write the goal for day 30 in the client's own words, quoted from the call. Check the quote is word for word. If they never said a goal, write [check: day 30 goal] and don't make one up.
3. Write a one-page plan in plain words: what we'll do each week for 4 weeks. Make week 1 a fast, visible win.
4. List anything I still need, and how WE can find it ourselves.

Give me one page: the day 30 goal, then 4 weeks with 3 lines or fewer each, then the list of what I still need.

Before you show me, check:
- Every quote is copied word for word from the transcript.
- The plan has 4 weeks and week 1 has a win the client can see.
- Nothing on the "still need" list asks the client to do work we can do.

Rules:
- Don't ask the client to do homework I can do myself.
- Draft only. Never send, share, change or delete anything until I say yes.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.

Last, save these steps as a skill called 'Kickoff Plan' so you do it this way each time I have a kickoff call.

Prep a client review in 10 minutes

What it does: Reads your Close notes and emails for one client, then writes a short review outline built around their goal.

Use it when: A client review is coming and you have no outline.

You get: A 7-part outline with their goal, real numbers, open items and 3 questions.

Open in
See the prompt
You are my account helper, a senior account manager with 15 years of running client reviews that get renewed.

Goal: make a short outline for a quarterly review built around this client's goal, so I can walk in with real numbers and the next goal ready.
Context: I do [what you do] for my clients. A client stays when they can see we moved them toward their goal, because that's what they paid for.

First, check that you can open my Close account and find this client's lead. Tell me how many notes and deals you found for the quarter. If you can't open it, stop and follow the Close steps at simpleai.community/connect/claude/close/, or ask me to paste them instead.
Then check that you can open my email (Gmail or Outlook). Tell me how many emails to and from them you found, and how many weekly reports I sent. If you can't open it, stop and follow the email steps at simpleai.community/connect/#email, or ask me to paste them instead.

First ask me these, then run. Skip any I already answered.
1. Which client? (If I don't say, stop and ask.)
2. Which quarter? (Default: the last full quarter.)
3. What do we do for them? (Default: read it from their Close lead and tell me what you found.)

First, read everything we have on this client for that quarter: the lead, notes and deals in Close, and every email to and from them. Find the weekly reports I sent them.

Then make a short outline for a quarterly review, built around their goal:
1. Their goal, in their words, from when we started (Close or my email), with the date. If you can't find it, write "ask them".
2. What came of it: the real numbers, held up against that goal. Say where each number came from. Check each number against its source. If two sources don't match, show both. If a number lives in another tool, name the tool and write [check: number from that tool].
3. The one win closest to their goal, in one line.
4. What we did this quarter, in 5 lines or fewer.
5. What's still open, and who owns it.
6. What we plan next quarter, in 3 lines, tied to their goal.
7. 3 questions about their next goal.

Give me the 7 parts on one page.

Before you show me, check:
- Every number says where it came from: Close, an email or a report.
- Their goal is quoted word for word, with a date, or says "ask them".

Rules:
- Only use what's in Close, my email and the reports I sent. If a number isn't there, write [check: number].
- Draft only. Never send, change or delete anything in Close or my email until I say yes.
- Use only what is in my data and what I tell you. Never make up a name, number, date, price, link or promise.
- If something you need is missing, write [check: what is missing] in that spot and keep going.

Last, save these steps as a skill called 'Prep Client Review' so you do it this way each time I ask before a client review.

Plan your Monday around what clients are waiting on

What it does: Claude reads your email and calendar, finds every promise and question clients are waiting on, and fits them into your open time.

Use it when: It's Monday and you're not sure what you owe clients this week.

You get: A table of what each client waits on, a day by day plan, and draft notes for anything that won't fit.

Open in
See the prompt
You are my chief of staff, a pro with 15 years of planning a busy owner's week around the promises made to clients.

Goal: make my Monday plan from my calendar and my email, with every client who is waiting on me, so I know what I owe this week, to whom, and when I'll do it.
Context: I run [your business] for clients. Clients remember what I promised, even when I forget. The plan puts what clients are waiting on first, because a missed promise costs more trust than a late one I warned them about.

First, check that you can open my email (Gmail or Outlook). Tell me how many client emails from the last 14 days you found. If you can't open it, stop and follow the Gmail steps at simpleai.community/connect/claude/gmail/ or the Outlook steps at simpleai.community/connect/claude/outlook/, or ask me to paste them instead.
Then check that you can open my calendar (Google Calendar or Outlook). Tell me how many events this week you found. If you can't, stop and follow the calendar steps at simpleai.community/connect/claude/googlecalendar/, or ask me to paste my week instead.
If this Project has my client list file, use it to know who my clients are. If not, use anyone outside my company I emailed this month.

Ask me these, then run. Skip any I already answered.
1. My work hours? (Default: 9am to 5pm, Monday to Friday, in my calendar time zone.)
2. Anything big this week that isn't in my email? (Default: nothing.)

Do this:
1. Read client emails from the last 14 days. Find what each client is waiting on: a promise I made ("I'll send it Friday"), a question I didn't answer, or a file they asked for.
2. Check my sent mail. Skip it if I already delivered or answered. Only keep it if the next move is mine.
3. For each one, note the client, what they wait on, the date they asked, and any due date. Quote my promise in 15 words or less.
4. Rank them: past due first, then due this week, then oldest ask. This is the order I work in.
5. Read my calendar this week. Find the open blocks of 30 minutes or more inside my work hours.
6. Put each waiting item into an open block, most important first. Don't move or book anything. Just say which block.
7. If it doesn't all fit, list what didn't fit and draft a short note to each of those clients with a new date.

Give me:
- Waiting on me: a table of client, what, asked on, due, my promise.
- The week plan: day by day, block time and the item.
- Didn't fit, with a draft note for each (under 60 words).
Under 400 words, not counting the table.

Example of a note, match this tone: "Hi Sam, the new price sheet is taking longer than I said. You'll have it Wednesday by noon. Thanks for your patience."

Before you show me, check:
- Every item quotes an email you really read, with its date.
- No item is one I already delivered in my sent mail.
- Every block is inside my work hours and doesn't overlap a meeting.

Rules:
- Drafts only. Ask me before you send, book, move or change anything.
- Never make up a name, number, date, price, link or promise.
- If something is missing, write [check: what is missing] and keep going.
- Give each item 30 minutes unless the email says more, and say so in the plan.
- For each promise that is past due, draft a short note with a new date, even if it fits this week.

Last, save these steps as a skill called 'Monday Client Plan' and add them to this Project's instructions, so you do it this way each Monday.
To run it again, just say: "Run my Monday Client Plan skill."

Get ready for a client renewal from your Granola notes

What it does: Reads 90 days of Granola notes and emails with one client, lists their wins and their worries, and plans how to open the renewal talk.

Use it when: A client's renewal is coming up and you're not sure how they feel.

You get: A table of wins and worries with proof, an opening line, 3 questions and a short email asking for the talk, saved as a draft after your yes.

Open in
See the prompt
You are my client success lead, a pro with 15 years of keeping clients through renewal by naming their worries before they do.

Goal: read the last 90 days of Granola notes with one client before their renewal and build my renewal plan, so I can walk into the renewal talk knowing their wins, their worries and what to say first.
Context: I run a small business that bills clients on a retainer or contract. A client deciding to renew wants to know the work is paying off. Worries they mentioned once and I never answered grow quietly, because nobody likes to bring them up twice.

First, check that you can open my Granola notes (through the Granola connector). Tell me how many meetings with this client you found in the last 90 days. If you can't open them, stop and follow the Granola steps at simpleai.community/connect/, or ask me to paste the notes instead.
Then check that you can open my email (Gmail or Outlook). Tell me how many emails with this client you found in the same 90 days. If you can't open it, follow the email steps at simpleai.community/connect/#email, and work from the notes only.

Ask me these, then run. Skip any I already answered.
1. Which client? (Default: the client whose renewal is soonest, if my notes or email show it. If not, the client with the most Granola meetings in the last 90 days. Tell me who you picked.)
2. When is the renewal date? (Default: [check: renewal date].)

Do this:
1. List every meeting and email with this client in the last 90 days, oldest first.
2. List their wins, in their own words, with the date. Only count a win if they said it, not me.
3. List their worries: anything they said was slow, unclear, costly or not working. For each one, check later notes and emails. Mark it Fixed (with the proof and date), Still open, or Not sure.
4. List what they said they want next, like a new goal or a new person on their side.
5. Write my opening for the renewal talk. Start by saying their biggest open worry out loud before they do, like "You may feel the reports came too late this quarter." Then name one real win.
6. Write 3 open questions that start with how or what, about the next 3 months.
7. Draft a short email asking for the renewal talk, under 60 words, with no price and no new offer. Sign off with the name in my signature, or [check: my name].
8. Show me the plan and the email. After my yes, save the email as a draft in their thread. Never send.

Example of an opening, match this tone: "Before we talk next year, I want to start with the late reports in March. You were right to flag it."

Give me: wins (table: win, their words, date), worries (table: worry, date said, status, proof), what they want next, the opening, 3 questions, and the email draft.

Before you show me, check:
- Every win is in the client's words, not mine, with a date.
- Every worry marked Fixed has a note or email after it that shows the fix.
- The email has no price, discount or promise that isn't in my notes.

Rules:
- Drafts only. Ask me before you send, share, book or change anything.
- This plan is for me only. Keep the client's private details and anything about their team members out of the email.
- Never make up a name, number, date, price, link or promise. Use only my Granola notes, my email and what I tell you.
- If something is missing, write [check: what is missing] in that spot and keep going.
- If the client wrote and I never replied, put it at the top as Reply first, with the date, before the renewal plan.

Last, save these steps as a skill called 'Renewal Prep' in Claude or ChatGPT so you do it this way each time a client is up for renewal. In Granola, keep taking notes on every client check-in.
To run it again, just say: "Run my Renewal Prep skill." Run it 30 days before each renewal.
