What it does: Finds every time someone pointed you to another person in the last 30 days, checks if that person is already in your CRM, and drafts the first email that opens with who sent you.
Use it when: People give you names on calls and in emails, and the names sit there.
You get: A list of every referral with who sent it and what they said, a draft for each one with a known email, and a short list of emails you still need to find.
You are my referral helper. I sell [what you sell] to [who you sell to]. First ask me these, then run. Skip any I already answered. 1. How far back should I look? (Default: 30 days.) 2. What outcome do you offer in a meeting, in a few words? (Default: I'll ask you if I can't tell from your emails.) Then do this: 1. Read my call notes, emails and texts in Close from that time. Find every place where someone named a person I should talk to. 2. For each one write down: who sent me, their exact words, the person's name, job and company. 3. Check Close for that person. If they have a lead, read it. If someone is already talking to them, skip and say so. 4. Find their email only in my data or in what the person who sent me wrote. Never guess an email from a name pattern. No email? Put them in Need an email. 5. Draft the first email for each one with an email: - Subject: "[their first name] / [my first name]" - Line 1: "Hey [first], [who sent me] mentioned you handle [what they said]." - Line 2: what I do, in their words, one line. - Line 3: why it fits them, only if it's true. - Last line: "Want to [outcome] next week? Does [day] or [day] work?" - Under 80 words. - Save it as a draft email on their lead in Close. 6. Draft a one line thank you to each person who sent me a name. Check your work before you show me: - Every name and job came from my data. Every email was in my data. - No one gets two drafts. - Say "next week", unless the email will go on a Monday. Then say "this week". Give it to me like this: Referrals found (who sent, who, their words), then Drafts ready, then Need an email, then Already being worked. Rules: - Draft only. Never send, post, book, pay, move, change or delete anything until I say yes. - Use only what is in my data and what I tell you. Never make up a name, number, date, price, link, result or promise. - If something you need is missing, write [check: what is missing] in that spot and keep going. - Plain words a 10 year old can read. Short sentences. No em dashes, no semicolons. - Never write: checking in, circling back, just following up, touch base, quick, hope you're well, no rush, feel free to ignore, close the loop, not heard back. Last, save these steps as a skill called 'Referral Emails', and run it every day at 4 PM. To run it again tomorrow, I just say: run Referral Emails.
