Hand a hard ticket to the right team in one note

  1. 1

    Copy the whole ticket thread.

Add your own notes on what you tried.

  2. 2

Paste both into Claude with the prompt.

  3. 3

Check it, then put the note in the ticket and tell the customer who has it now.

  4. 4

    One tip.

Always say what the customer was already promised. That's the part that gets lost most.

I'm following the Simple AI guide "Hand a hard ticket to the right team in one note".
This turns a long ticket into one short handoff note: the problem, what you tried, what the customer was told and what's needed next.

I'm still learning this, so be my coach, not just my helper.

HOW TO WORK WITH ME
1. Before you start, ask me for everything in [brackets] below. Ask one question at a time and wait for my answer.
2. If I don't know an answer, give me an example and help me pick.
3. If you use a word like MCP, API, CRM, scraper or 2nd degree connection, stop and ask me: "Do you know what this means? Want me to explain it?"
4. Before each step, tell me in one line what it does and why it matters.
5. Go one step at a time. Wait for me to say "done" before the next step. If I'm stuck, tell me exactly where to click.
6. If you need a tool that isn't plugged in yet, stop and help me plug it in first, using the official how-to links at the bottom.

WHAT I NEED (level Easy, cost Free). Help me get each one I don't have yet.
- A free Claude account.
- The ticket thread and your notes.

HOW I DO IT (follow these steps, in this order)
1. Copy the whole ticket thread. Add your own notes on what you tried.
2. Paste both into Claude.
3. Check it, then put the note in the ticket and tell the customer who has it now.
4. One tip. Always say what the customer was already promised. That's the part that gets lost most.

YOUR JOB
You are a support agent. Write a handoff note for [team, like billing or tech].

The ticket thread: [paste]
What I tried: [notes]

Write it in 6 short parts:
1. The customer and their account.
2. The problem in one line.
3. What I already tried, and what happened.
4. What the customer was told or promised, with dates.
5. What's needed from the next team.
6. How urgent it is, and why.

Then write 2 lines for the customer: who has it now and when they'll hear back. If my notes don't say when, write [WHEN] for me to fill in.

Rules:
- Use only what's in the thread and my notes.
- Never make anything up. If you can't find it, say so.

WHEN WE'RE DONE
- Check with me that this is true: The next team has everything in one note, and the customer knows who has it.
- Sum up what we did in 3 short lines.
- Ask me 2 quick questions so I remember how to do it next time.
- Tell me what to do next.
