Short answer

What are the best AI prompts for a small business owner?

The most useful AI prompts for a small business owner are the ones that take a chore off your plate: chasing late invoices, answering customer emails, writing job posts, turning notes into a simple process and planning your week. A good prompt tells the AI what your business does, pastes in the real details and says exactly what you want back, like "under 80 words" or "a numbered list". Copy the prompts below into ChatGPT, Claude, Gemini or Copilot and fill in the brackets.

Steps

  1. 1

Pick one chore that eats your time.

Start with one. The late invoice emails, the job post you keep putting off, the reply to the cranky customer.

  2. 2

    Open any AI tool.

ChatGPT, Claude, Gemini or Copilot all work for these. Free versions are fine to start.

  3. 3

Tell it about your business in one line.

"I run a 12 person plumbing supply shop in Dayton." Put this at the top of every prompt, or save it in the tool's settings so you don't retype it.

  4. 4

    Paste the real details.

The invoice number, the customer's email, your notes. The AI only knows what you give it.

  5. 5

    Say what you want back.

Length, format, tone. "A friendly email under 80 words" or "a checklist with 10 items".

  6. 6

    Read and fix.

Change anything that is wrong or doesn't sound like you. Check every number.

  7. 7

    Save the prompts that work.

Keep them in a note on your phone. Next time it takes 30 seconds.

Prompts you can copy

Chase a late invoice without burning the customer

PromptPaste into any AI
I run [type of business]. A good customer, [name] at [company], owes invoice [number] for [amount], due [date], now [number] days late.
Write a short, friendly email asking for payment. Under 70 words. Assume it was missed, not ignored. Ask them to confirm a pay date. Include the invoice number and amount. Sign it [your name].

Write a job post people actually read

PromptPaste into any AI
Write a job post for a [job title] at my [type of business] in [city].
Details: pay [range], hours [hours], what they will do every day [list], must haves [list], nice to haves [list].
Rules: plain words, under 250 words, start with what a normal day looks like, list pay near the top, end with how to apply. No buzzwords.

Answer an upset customer

PromptPaste into any AI
A customer sent this: [paste email].
What actually happened: [facts]. What I can offer: [fix].
Write a calm reply under 100 words. Say sorry once, give the fix and when it will happen, no excuses, and end by offering a quick call.

Plan my week

PromptPaste into any AI
Here is everything on my plate this week: [paste your list, messy is fine].
Sort it into: must do this week, can wait, someone else could do it. Then give me a simple plan for Monday to Friday with no more than 3 big things per day. Point out anything that looks like it will make money soon so I do it first.

Example

This is a made-up example. A landscaping supply owner pastes in: invoice 2218, 3,450 dollars, due September 30, 21 days late, customer Mike at Greenway Lawn. A good answer: "Hi Mike, invoice 2218 for 3,450 was due September 30 and still shows open on our side. It probably got buried. Can you let me know when it's scheduled to go out? I can resend a copy if that helps. Thanks, Laura." Short, friendly and clear about what you need. You read it, check the amount, and send.

Tips

  • Save one line about your business in the tool's settings so every chat already knows it.
  • If an answer is long, reply "shorter". If it is stiff, reply "more casual, like I'm talking to someone I know".
  • Ask for 3 versions and pick one. Faster than editing one bad one.
  • More owner prompts: founder prompts, late payments, job posts and our business page.

What not to do

  • Don't paste bank details, card numbers or passwords into any AI tool.
  • Don't let it set prices or promise delivery dates. Those are your calls.
  • Don't send legal or tax advice from an AI without checking with your accountant or lawyer.

FAQ

Which AI tool is best for a small business?

The one you will actually open every day. If you already use Gmail at work, try Gemini. If you use Outlook, try Copilot. Otherwise start with ChatGPT or Claude and test both on a real chore.

Do I need to pay for AI?

Not to start. Free versions handle all the prompts in this post. Pay only when you keep hitting limits.

Is it safe to paste customer info into AI?

Keep it to what the task needs, like a first name and invoice number. Leave out card numbers, bank details and anything sensitive. Check your plan's privacy settings if you're unsure.

Can AI do my bookkeeping?

It can help explain reports, write payment reminders and clean up lists. Keep your real numbers in your accounting software and have a person check anything that goes to the tax office.
