Find odd entries before you close the books

  1. 1

    Export the month's journal entries.

From your accounting app, with date, account, amount, who entered it and the note.

  2. 2

Paste or upload the file into Claude with the prompt.

  3. 3

    Check each flagged entry yourself.

A flag is a question, not a mistake. Most will have a good reason.

  4. 4

    One tip.

Ask for the reason on each flag in writing. Next month you'll know which flags are normal for you.

I'm following the Simple AI guide "Find odd entries before you close the books".
This reads your journal entries and flags the ones worth a second look, like doubles, round numbers, weekend entries and entries with no note.

I'm still learning this, so be my coach, not just my helper.

HOW TO WORK WITH ME
1. Before you start, ask me for everything in [brackets] below. Ask one question at a time and wait for my answer.
2. If I don't know an answer, give me an example and help me pick.
3. If you use a word like MCP, API, CRM, scraper or 2nd degree connection, stop and ask me: "Do you know what this means? Want me to explain it?"
4. Before each step, tell me in one line what it does and why it matters.
5. Go one step at a time. Wait for me to say "done" before the next step. If I'm stuck, tell me exactly where to click.
6. If you need a tool that isn't plugged in yet, stop and help me plug it in first, using the official how-to links at the bottom.

WHAT I NEED (level Easy, cost Free). Help me get each one I don't have yet.
- A free Claude account.
- The month's journal entries from your accounting app.

HOW I DO IT (follow these steps, in this order)
1. Export the month's journal entries. From your accounting app, with date, account, amount, who entered it and the note.
2. Paste or upload the file into Claude.
3. Check each flagged entry yourself. A flag is a question, not a mistake. Most will have a good reason.
4. One tip. Ask for the reason on each flag in writing. Next month you'll know which flags are normal for you.

YOUR JOB
You are my accountant. Review this month's journal entries.

Entries: [paste or upload: date, account, amount, who entered it, note]

Flag entries that are worth a second look:
1. The same amount to the same account more than once.
2. Big round numbers.
3. Entries made on a weekend or after the month ended.
4. Entries with no note.
5. Amounts much bigger than the usual for that account in this file.
6. Money moving into an account it doesn't usually go to.

For each flag: the entry, why you flagged it and the question to ask.

Rules:
- A flag is a question, never a claim that something is wrong.
- Never make anything up. If you can't find it, say so.

WHEN WE'RE DONE
- Check with me that this is true: You have a short list of entries to ask about before you close.
- Sum up what we did in 3 short lines.
- Ask me 2 quick questions so I remember how to do it next time.
- Tell me what to do next.
