How we run our B2B sales system, and how you can run it too
One login, one phone, ten client campaigns. Every process on these pages is one I run today, with the real numbers and the parts that broke.
I run ten client campaigns and my own outbound with one login and a phone. No SDR team. No sales ops hire. The system does the plumbing and people make the calls.
This section is the whole thing, written down. Every page is a real process I run right now, with the settings, the numbers, and the mistakes. If a number is on a page, it came out of my own records. If I do not have the number yet, the page says so.
Most sales teams work for their system. They update the CRM, chase replies, fix bad data, and sell with whatever time is left. I built it the other way around. The system works for me. Here is the shape of it.
The system in six pieces
- 01
Find the right people, with the mobile set in the search
I source on Prospeo.io and Landbase. The verified-mobile filter goes on the search itself, not on a list afterward. Searches are free, so I scan thousands and reveal hundreds. Owner, president, CEO or GM, at companies with 5 to 100 people, in the trades my client sells to. On Sep 21 one client build scanned 4,175 rows and kept 150.
- 02
Check they are still in the job before paying for anything
Apify reads the LinkedIn profile for about $0.006 each. It runs before the paid reveal. On the same build it held 10 people out of a list of 339. Five profiles were gone, three had moved to a new company, two had no current role. Every one of them had a perfect mobile. The number was right. The person had left.
- 03
Keep only real mobiles
Trestle runs last. One call per number, and the only field I read is line_type. If it does not say Mobile, the row drops. Landline, fixed VOIP, non-fixed VOIP, toll-free, voicemail, unknown, all gone. On the first run, 5 of 31 numbers a vendor had labelled verified mobile were office lines.
- 04
Close is the memory
Every call, text, email, note and payment lands on the lead in Close. Dashboards are mirrors, never the source. Smart views cap every lead at 10 calls or 5 emails unless the person actually talked to us, and sort the coldest lead to the top so nobody rots.
- 05
Claude drafts, a person sends
Ten prompts, one per job, on a schedule. The loop reads the inbox every 10 minutes. Owed replies get a draft within the hour. The show-rate desk confirms meetings 48 hours out. Nothing sends itself. I click send, and every line the agent writes has to be true.
- 06
People make the calls
In one week across every client: 2,438 dials, 181 connects, 34 qualified conversations. That is about 72 dials per real conversation. No prompt makes those. The system exists so the people dialing never touch the plumbing.
Pick the page you need
- Close
- Close is the memory Smart views, the 10-call cap, drafts only, the post-call note.
- Claude
- An agent that drafts, a person who sends The ten prompts, the org chart, and the model routing.
- Apify
- $0.006 a profile, and the still-in-role check Who posts, who changed jobs, who already left. The actor and the trap.
- Trestle
- Verified mobile is a label. Line type is a fact. One API call, one field. The drop list and why the score is ignored.
- Prospeo
- Set verified mobile in the search, not after it The exact filter set, the 10-credit math, and proving it twice.
- Stop wasting time
- Cap the touches, count real conversations, dial at 6am Four measured rules, and the numbers that made my own count go down.
What this replaces
Run it this way and here is what comes off your plate.
- A Sales Navigator seat and the VA who copies out of it.
- A vendor's word that a number is a mobile.
- A spreadsheet of who to call next.
- An inbox somebody has to remember to check.
- A sales ops hire to keep the CRM honest.
Run this today
- Write your buyer in one line. Title, company size, industry, country. If it takes a paragraph, it is not ready.
- Search on Prospeo.io with verified mobile turned on. Do not reveal anything yet.
- Run the list through Apify in Full mode. Hold anyone who is NOT_RETURNED or LEFT_ROLE.
- Reveal the mobiles. Then run every one through Trestle and keep line_type Mobile only.
- Load to Close with one note per lead. Who they are, why they are on the list, the opener.
- Build the cap view. 10 calls or 5 emails unless two-way. Sort oldest first.
- Set up the ten jobs below and run number 1, the loop, tonight.
The ten prompts that run the back office
One prompt per job. Here is the list with the clock each one runs on. Free Claude prompts for sales are on Simple AI.
1. The loop Ops every 10 minutes 2. Owed reply Sales every minute 3. Post-call stage + note Ops after every calling block 4. Forwarded signal CS on receipt 5. Bounce lane Ops on every delivery failure 6. Show-rate desk Sales every 5 minutes 7. Scheduling reply Sales on "when works?" 8. Weekly client report CS Friday 9. Monday revenue check Finance Monday 8am 10. Sunday learn pass Ops Sunday evening Two rules on every one: drafts only, never send. Every output line must be true. The questions I get on this.
Do I need all five tools?
No. Close and one data source get you most of the way. Apify and Trestle are the two that remove bad data, and they are the two nobody uses. Start with the cap view in Close and the Trestle line-type check. Add the rest as you go.
What does the stack cost to run?
Apify is about $0.006 a profile. A verified mobile on Prospeo.io is 10 credits. Trestle bills per query, which is why it runs last on the short list. The Claude jobs are small: the loop's Slack posting costs about six cents a pass. The expensive part is people making calls.
Does this work on HubSpot or Salesforce?
The ideas do. The queries on these pages are written for Close because that is what I run. Client campaigns live in the client's own CRM, and the same caps and notes apply there.
Can you just do it for me?
Yes, that is the business. We book sales-qualified meetings for B2B companies, priced on held meetings. Or we set up the same calling system we use, for your own team. See how we price.
Don't see your work here?
Tell me what you do every day, and I'll make guides and prompts for it.
Got it. Thank you. I read every request.
