Steps

   Open the page you want help with.

   Meeting notes, a project page, a messy doc, or a database of tasks. Do one page at a time.

   Use Notion AI if you have it.

   On some plans, you can press the space bar on an empty line or highlight text to ask Notion AI to write, summarize or fix what is there. It can see the page you are on.

   Or copy the page out.

   Select all the text on the page, copy it, and paste it into ChatGPT or Claude. You can also export a page from the page menu if you want a file.

   Paste a prompt from below.

   Fill in the [brackets]. Tell the AI the exact headings you want so the answer drops right into your page.

   Paste the answer back into Notion.

   Notion keeps the headings and bullet points when you paste. Tag people and add dates yourself so the right person gets the task.

   Save your favorite prompts.

   Keep a Notion page called "Prompts" with the ones that work. Next time, copy and go.

Turn meeting notes into action items

You are a helpful assistant for a busy team. Below are my notes from a meeting about [topic].

Rewrite them with these headings:
Decisions made
Action items, as a list with the task, the owner and the due date
Open questions
Short summary, 3 sentences max

If an owner or due date is not in the notes, write "owner?" or "date?" so I can fill it in. Do not add tasks nobody said.

Turn a brain dump into a how-to guide

You are writing a simple how-to guide for a new team member at a [type of company].

The task is: [for example, how to enter a new customer order].

Here is everything I know about it, in no order: [paste your notes or talk it out in a few lines].

Write the guide with:
A one line purpose at the top
Numbered steps, one action per step, starting with a verb
A "Watch out for" list with common mistakes
A "Who to ask" line

Use words a new hire on day one would understand. Under 300 words.

Write a weekly project update

You are writing a short weekly update for my boss about the project [project name].

Here is the project page with tasks and notes: [paste].

Write the update in under 120 words with these parts:
Done this week
Next week
Stuck or need help with

Plain words, no fluff. If a task has been "in progress" for a long time, call it out in the stuck section.

Clean up a messy page

Here is a Notion page that has grown messy over time: [paste the page].

Reorganize it so it is easy to read. Group related items under clear headings. Remove repeated lines. Keep every real fact, date and name, do not delete information. Mark anything that looks out of date with "(check if still true)."

Return the clean page, then a short list of what you moved or merged.

Example

This is a made-up example. Your notes from a Monday sales meeting say: "Q4 promo, Jen to send flyer to top 50 accts, need price list from Tom, trade show booth not booked yet, who?" The first prompt turns that into: Decisions made, "Run the Q4 promo." Action items, "Send flyer to top 50 accounts, Jen, date?" and "Send updated price list, Tom, date?" Open questions, "Who books the trade show booth?" Now nobody walks out of the meeting with a different idea of who does what.

Tips

• Give the AI the exact headings you want. Notion pages look best when they match each other.
• For meeting notes, run the prompt right after the meeting while people still remember.
• Use the meeting notes guide and the SOP guide for more ways to set these up.
• In a Notion database, some plans let AI fill in a property for each row, like a summary. Test it on a few rows first.

What not to do

• Do not let AI delete old content without you checking. Ask it to mark things instead.
• Do not paste private HR or customer info into a free AI tool. Use what your company allows.
• Do not trust AI to know who owns a task. If the notes do not say, it should leave a blank.

FAQ

Is Notion AI free?

Notion AI comes with some paid plans and may be limited or a trial on others. Check your plan in Notion settings. If you do not have it, ChatGPT or Claude work fine with copy and paste.

Can Notion AI read my whole workspace?

On some plans, Notion AI can search across pages you have access to and answer questions about them. On the page you are on, it can always work with that page's text.

What is the best first prompt to try?

The meeting notes prompt. Almost every team has messy notes, and clear action items save follow up time right away.

Will the formatting survive copy and paste?

Mostly yes. Headings, bullets and numbered lists paste into Notion cleanly. Tables and colors may need a quick fix.
