Short answer
How can I use AI by talking to it on my phone between meetings or in the truck?
Download the ChatGPT, Claude or Gemini app, tap the voice button, and talk to it like you'd talk to an assistant riding along with you. Right after a meeting, say what happened and ask it to turn that into notes and a follow up email. Before a meeting, ask it to quiz you on what to ask. Only use it hands free when you're driving, and read anything before you send it.
Steps
- 1
Get the app on your phone.
Pick one: ChatGPT, Claude or Gemini. All three have phone apps where you can talk instead of type.
- 2
Find the voice button.
In each app there's a mic or a voice mode button near the text box. The mic types out what you say. Voice mode talks back to you.
- 3
Set it up before you drive.
Open the app and start voice mode while you're parked. Then follow your local hands free rules.
- 4
Talk right after each meeting.
Say who you met, what they need, what they said no to, and what you promised. Don't worry about order. Ramble.
- 5
Ask for what you need back.
Notes for your CRM, a follow up email, and a to do list. Say "keep it short".
- 6
Copy it when you're parked.
The chat saves the text. When you stop, copy the notes into your CRM and the email into your inbox, read it, then send.

After the meeting
I just left a meeting. I'm going to talk for a minute about how it went. When I'm done, give me three things: 1. Notes for my CRM in 5 bullets: who, what they need, budget or timing, objections, next step. 2. A follow up email under 80 words with one clear next step. 3. My to do list from this meeting with dates. Ready? Here's what happened: [talk]
Before the meeting
I'm 10 minutes from a meeting with [name, title] at [company]. They [what they do]. I sell [what you sell]. Ask me the 3 questions I should be ready to answer, one at a time, and wait for my answer each time. Then tell me what I missed.
End of day wrap up
I'm going to tell you about my day. Turn it into: who I need to call back tomorrow and why, any quotes I owe, and one line I can send my boss on how the day went. Keep it short.
Example
This is a made-up example. You leave a plant manager's office and say: "Met Dan at the plant. They're unhappy with their current supplier on lead times. Want pricing on the 2 inch fittings, about 500 a month. Needs it before their January shutdown. I said I'd send a quote Thursday." The AI gives you clean notes, a 60 word email that says the quote is coming Thursday, and a to do: "Quote 500 per month, 2 inch fittings, by Thursday." You paste them in when you park.
Tips
- Talk like you talk. You don't need full sentences. The AI cleans it up.
- Say names slowly or spell them. Voice apps get names wrong more than anything.
- Make one chat per customer, so you can go back and ask "what did Dan want again?"
FAQ
Is it safe to use AI voice mode while driving?
Only if your phone is mounted and you use it hands free, like a phone call, and only where that's legal. Set it up before you start driving and read everything later when you're parked.
Which app is best for voice?
ChatGPT, Claude and Gemini all work for this. Try the one your company allows, then stick with it so all your notes are in one place.
Does it work with bad cell service?
It needs a data connection. In a dead zone, record a voice memo on your phone and paste the transcript into the app later.
