Short answer
How do I summarize a meeting with AI and get clear next steps?
To summarize a meeting with AI, paste your notes or the transcript into an AI tool and ask for three things: what was decided, the next steps with an owner and a due date for each, and any open questions. Tell it to only use what is in the notes and to write "no owner" or "no date" when something was not agreed. Then read it once, fix anything wrong, and send it the same day.
Steps
- 1
Get the raw notes.
This can be a transcript from Teams, Zoom or Google Meet, your own typed notes, or a voice memo you turned into text. Messy is fine.
- 2
Get permission to record.
If you record a meeting, tell everyone first and follow your company's rules and local law.
- 3
Paste the notes into the prompt below.
Use ChatGPT, Claude, Gemini or Copilot. Some plans of Teams, Zoom and Google Meet also make an AI recap for you.
- 4
Check the next steps.
This is the part that matters most. Make sure each one has the right owner and the right date.
- 5
Send the recap within a few hours.
People remember the meeting better while it is fresh, and they can fix a mistake early.

Meeting recap with next steps
You are a careful assistant writing a meeting recap. Meeting: [name or topic], [date]. People there: [names and roles]. Here are the notes or transcript: [paste]. Write a recap with these parts: 1. Summary in 2 or 3 sentences. 2. Decisions made, as a short list. 3. Next steps, as a list. Each one: what, who owns it, due date. 4. Open questions nobody answered. Only use what is in the notes. If an owner or date was not said, write "no owner yet" or "no date yet". Do not guess. Plain words. Under 250 words.
Turn it into an email to the group
Turn this meeting recap into a short email to everyone who was there: [paste recap]. Start with one line of thanks, then the decisions, then the next steps with owners and dates. End by asking people to reply if anything is wrong. Under 150 words. Friendly and clear.
Recap of a sales or customer call
Here are my notes from a call with [customer name], [their role] at [company]: [paste notes]. Give me: - What they need, in their words where possible. - What they are worried about. - What we promised to do, and by when. - The next step we agreed on. Under 150 words. Only use what is in the notes. Mark anything you are unsure about with a question mark.
Example
This is a made-up example. Notes from a short ops meeting: "Truck 4 down again. Mike says new part Thursday. Need to move Friday deliveries. Sara will call the two big customers. Jen to check if we can rent a truck, not sure on cost. Talk again Monday."
A good recap looks like this:
Summary: Truck 4 is down until a new part arrives Thursday. Friday deliveries need a plan.
Decisions: Move Friday deliveries if the truck is not fixed.
Next steps: Mike gets the part installed, Thursday. Sara calls the two big customers about Friday, no date yet. Jen checks the cost of a rental truck, no date yet.
Open questions: How much does a rental cost? Which deliveries move first?
Notice the AI did not invent a date for Sara or Jen. That is what you want.
Tips
- Name the people and roles at the top of the prompt. AI gets owners right much more often when it knows who is who.
- For long meetings, ask for next steps first. That is the part people read.
- If the transcript tool mixes up speakers, tell the AI "Speaker 1 is Mike" before you paste.
- Keep one saved prompt for team meetings and one for customer calls.
What not to do
- Do not send a recap you have not read. AI can turn "maybe" into "we agreed".
- Do not paste private HR talks or anything your company says should stay out of AI tools.
- Do not let the recap get long. If nobody reads it, the next steps do not happen.

FAQ
Can AI join my meeting and take notes?
Some tools can. Teams, Zoom and Google Meet have AI note features on some plans, and there are note taker apps too. Always tell people the meeting is being recorded.
What if I only have rough notes, no transcript?
That works. Paste your rough notes and the AI will clean them up. It will just have less detail to work with, so check the next steps carefully.
How do I stop the AI from making things up?
Tell it to only use the notes and to write "no owner yet" or "no date yet" when something is missing. Then read the recap before you send it.
Should I send the recap to the customer after a sales call?
A short recap of what you agreed is a good idea. Remove anything internal first, like your own notes about price or the deal.
