Question: How do I use ChatGPT for sales?

Use ChatGPT as a fast helper for the boring parts of sales: prepping for calls, writing follow up emails, cleaning up call notes and practicing objections. Tell it who you sell to, paste in the real details (your notes, their email, their website text), and ask for one short thing at a time. Read every answer before you use it, fix anything that sounds wrong, and keep the selling and the relationship for yourself.

## Steps

1. **Open ChatGPT and sign in.** Use the website or the phone app. The free version is fine to start. Paid plans add more use and some extra features.
2. **Tell it about your business once.** In the settings there is a place for custom instructions on most plans. Put in what you sell, who buys it and how you like to write. Now you don't have to repeat it every chat.
3. **Start a new chat for each job.** One chat for a call prep, another for a follow up. Short, focused chats give better answers than one giant chat about everything.
4. **Paste the real stuff.** ChatGPT only knows what you give it. Paste your call notes, the prospect's last email or the "About us" text from their site. Leave out private details you would not want shared, like home addresses or card numbers.
5. **Ask for a short, specific output.** Say how long it should be, who it is for and the tone. "Write a 5 line follow up email, friendly, no fluff" beats "write an email".
6. **Push back.** If the answer is too long or too stiff, say so. "Shorter." "Sound more like a person." "Take out the last line." It will redo it.
7. **Check the facts and send it yourself.** ChatGPT can get names, numbers and dates wrong. Read it like it was written by a new rep on day one, then send from your own email or CRM.

## Prompts you can copy

### Call prep in two minutes

```prompt
You are helping me prep for a sales call. I sell [what you sell] to [type of buyer].
Here is what I know about the prospect: [paste their website About text, LinkedIn summary or your notes].
Give me:
1. Three things their business probably cares about right now, based only on what I pasted.
2. Five open questions I can ask to learn their real problem.
3. One short opening line I can say in the first 10 seconds.
Keep it to one screen. Do not make up facts about the company.
```

### Follow up email after a call

```prompt
Write a follow up email to [name] at [company] after our call today.
My notes from the call: [paste notes].
Rules: under 80 words, plain words, no "hope this finds you well", one clear next step at the end as a question. Sign it [your first name].
```

### Objection practice

```prompt
Act like a busy [job title] at a [type of company]. I am calling to sell [what you sell].
Give me the objection "[objection, like we already have a supplier]" in your own words, then wait for my answer.
After I answer, tell me in 3 bullet points what worked and what to say better. Then give me a harder version of the same objection.
```

### Clean up messy call notes

```prompt
Turn these messy call notes into a clean summary for my CRM.
Notes: [paste notes].
Format: Who I talked to, What they need, Budget or timing if mentioned, Next step with a date. Use short bullet points. If something is missing, write "not discussed" instead of guessing.
```

## Example

This is a made-up example. Notes pasted in: "talked to Dana, ops mgr at a 40 truck freight company, hates their current load board, contract up in March, wants pricing, call back Tuesday."

A good follow up from ChatGPT would read something like: "Hi Dana, thanks for the time today. You mentioned the load board is slowing your team down and the contract is up in March. I'll put pricing together for 40 trucks so you can compare before then. Does Tuesday at 10 still work to walk through it? Mike."

Short, uses her words, one ask. That is what you want. If it comes back with three paragraphs, tell it "shorter, 4 lines".

## Tips

- Keep a note on your phone with your 4 or 5 favorite prompts. Copy, paste, fill in the brackets.
- Ask for options. "Give me 3 versions of the subject line" lets you pick the one that sounds like you.
- Use it to practice before a big call. Have it play the buyer and argue with you for five minutes.
- More ready prompts live in the [prompt library](/prompts/) and the [cold email prompts](/prompts/coldemail/).

## What not to do

- Don't paste a whole customer list with phone numbers and emails into a chat unless your company says that is ok.
- Don't send anything without reading it. It will sometimes invent a detail that sounds real.
- Don't let it write long. Buyers skim. If you would not say it out loud on the phone, cut it.

## FAQ

### Is the free version of ChatGPT good enough for sales?

For writing emails, prepping calls and cleaning notes, yes. Paid plans give you more messages and some extra tools, so upgrade only if you hit the limits.

### Can ChatGPT find leads for me?

It can help you think about who to call and write the outreach, and on some plans it can search the web. It is not a lead database, so check any company or contact it gives you before you use it.

### Will my emails sound like a robot?

Only if you let them. Tell it to use short, plain sentences, paste in two emails you wrote yourself as examples, and edit the answer before you send. See our guide on [follow up calls](/calls/followup/) for more.

### Should I use ChatGPT or Claude?

Both work well for sales writing. Try the same task in each and keep the one whose answers you edit the least.
