Question: What are good AI prompts for Close CRM?

The best AI prompts for Close CRM help you do what Close is built for: calling, emailing and following up fast. Use AI to turn call notes into clean lead notes, write the follow up email right after a call, decide who to call first from a smart view, and write short voicemails. Copy the lead or export the view from Close, paste it into ChatGPT or Claude with a prompt below, and paste the answer back. Close also has its own AI features, like call summaries, on some plans.

## Steps

1. **Start with one lead or one view.** For one person, open the lead and copy the notes, the last email and the call summary if you have one. For a list, open a smart view.
2. **Export the view if you need a list.** From a smart view or search, you can export the leads to a CSV. Keep only the columns you need, like company, contact, status, last call date and last note.
3. **Remove what the AI does not need.** Cut phone numbers and personal details before you paste, and follow your company's rules on customer data.
4. **Paste a prompt, then your data.** Fill in the [brackets] in the prompt and paste the lead or CSV under it.
5. **Paste the result back into Close.** Put the clean note on the lead, paste the email into the email composer, or reorder your calls based on the list.
6. **Use Close's own AI where it fits.** If your plan includes call summaries or email help, use those first and use the prompts here for the jobs they do not cover.

## Prompts you can copy

### Recap a call into a lead note

```prompt
You are an assistant for a B2B sales rep who makes a lot of calls. Turn my call notes into a short note for my CRM.
Format:
Talked to: [name and title]
Their situation: one or two sentences
What they want: one sentence
Objection: one sentence, or "none"
Next step: what, who, and the date
Keep it under 100 words. Do not add anything I did not say. If the next step is not clear, write "no next step set."
My notes or transcript: [paste here]
```

### Write the follow up email right after the call

```prompt
You are a sales rep at [your company]. We help [type of customer] with [the problem you solve].
I just got off a call with [first name] at [company]. Here are my notes: [paste notes].
Write a follow up email under 80 words. First line says what we agreed on, in their words. Add one useful detail or link placeholder that fits what they asked about. End with one question that confirms the next step and a time, like "[day] at [time] still good?"
No "great chatting," no "just following up," no exclamation marks in the ask.
```

### Pick who to call first from a smart view

```prompt
You are a sales coach helping me plan my call block. Below is a CSV export of a smart view from Close with company, contact, title, lead status, last call date, last email date and last note.
Sort these leads into three groups:
1. Call first: they showed interest, asked for something, or a callback is due.
2. Call today: worth a call but no clear signal.
3. Skip for now: said not now, wrong person, or contacted in the last [2] days.
For each lead in group 1, give one line on what to say first, based on the last note. Only use the data I gave you.
[paste CSV here]
```

### Write a voicemail that gets a call back

```prompt
You are a friendly, plain spoken sales rep. Write a voicemail script for [first name], the [title] at [company].
Context: [why you are calling, for example they downloaded a guide, or they asked for pricing last month].
Rules: under 30 seconds out loud, which is about 70 words. Say my name, my company and one clear reason for the call. Say my number twice: [your number]. No pitch, no list of features. Give me 2 versions, one for a first call and one for a second try a week later.
```

## Example

This is a made-up example. Your notes say: "spoke w Dana ops mgr, using spreadsheets for orders, hates it, boss Mike signs off, demo Tues 2pm." A good recap from the first prompt reads: "Talked to: Dana, Operations Manager. Their situation: tracks orders in spreadsheets and it is slowing her down. What they want: a simpler way to track orders. Objection: none. Next step: demo Tuesday at 2 pm, Mike signs off and should be invited."

## Tips

- Do the recap prompt right after every call while it is fresh. Two minutes now saves a lot of guessing later.
- Keep your prompts in a note so you can paste them between dials.
- When you export a smart view, include the last note column. That is what makes the "who to call first" prompt work.
- Read the [call follow up guide](/calls/followup/) for more ways to word the email after a call.

## What not to do

- Do not paste a whole lead export with phone numbers into a free AI tool.
- Do not let AI invent next steps. If you did not set one, the note should say so.
- Do not send AI emails without reading them out loud first.
